Thank you for your interest in exhibiting at EAACI 2009!

EAACI 2009 will offer unparalleled opportunities to both commercial and non-commercial to showcase their products and services to the largest gathering of allergy professionals in the world. With over 3000 square meters (sqm) of prime exhibition space and more than 6000 delegates expected, organizations can reach many key players in the global response to allergy management. Delegates will include scientists, researchers, doctors and other health care providers. A large and diverse exhibition space will host booths featuring large multinational organizations and local companies, providing a unique opportunity for organizations to interact with delegates from around the world. To ensure high volumes of traffic, the exhibition floor is centrally located. Exhibitions at previous congresses were oversubscribed, and many organizations missed out on the opportunity – ensure your space by applying well before the deadline. Exhibition applications will be closed prior to the deadline if capacity is reached.

At the heart of Warsaw, within walking distance to most hotels, the PKiN is the most eye-catching building in the vicinity. Completed in 1955, the building was a gift of the then USSR to Poland. However, the building itself was not designed with modern-day exhibitions in mind, and the congress organizers have taken these unique challenges in mind when designing the exhibition floorplan.
 
Exhibitions
The exhibition at EAACI2009 is divided between two areas – one within the Palace of Culture and Science (www.pkin.pl) and the other in a temporary structure (Exhibition Annex) being built outside the venue. Both areas have unique attractions for the delegates.
 
The Exhibition Annex will play host to the booths of all Founder Sponsors, a Poster Exhibition, the Speakers Corner, the IT café and a catering area. The exhibition area inside the venue is part of the day-to-day traffic flow, and is in the delegate path to the plenary room and poster area. It also features the EAACI booth/area and a catering area.

Procedure for booking space at EAACI 2009:
  1. Download the floorplans, as well as the Exhibition Contract. Note that the numbers in RED are the booth numbers, and the numbers in BLACK are the square meter sizes.
  2. On the Exhibition Contract, indicate your top three choices of space/shell schemes.
  3. Payment details for credit cards are available on the contract. Please read the cancellation policies, as well as the general rules and regulations. Please fill in the contract and fax back to the indicated number. The contract is binding, and is taken as a confirmation of your order. For bank transfers, an invoice will be sent shortly. 
  4. Based on your interest form sent in earlier (if applicable), you will be allocated a booth and a confirmation of the booth number will be sent to you along with the terms and conditions for exhibiting at EAACI2009.
  5. If your requested space is taken, the next best available booth will be allocated to you. Should you disagree with this allocation, please let us know and we will do our utmost to accommodate your request.
  6. Should you require a LARGER booth than the ones shown, you may indicate two ADJOINING booths which may be combined (applies to both shell schemes and floor space). However, spaces cannot be REDUCED.
  7. The space request is fully confirmed only when the contract is received. Exhibitors have a payment deadline of 30 days from receipt of the invoice.
  8. The Exhibition Technical Manual will be made available later this year, and an email will be sent to you once that is ready and available for download on the website.
  9. An exhibitor’s technical visit is being planned to the venue in the first week of December – all exhibitors are welcome to attend this meeting on site in Warsaw. More information will be made available shortly, and an update email will be sent to all interested and confirmed exhibitors.
